We are looking for a dynamic, passionate, and highly organized person to join the team as an assistant to our CEO. Your primary responsibility will be to provide personalized administrative support in a well-organized and timely manner. During your day-to-day, you will act as an extension and primary point of communication to our CEO. This is a senior position within the organization, with responsibilities including:
- Managing calendars, scheduling meetings and coordinating with outside parties as necessary.
- Schedule inter-department meetings and events, including site selection and catering
- Making travel arrangements; including air, land and accommodations
- Submitting accurate expense reports
- Drafting memos and other written correspondence
- Providing assistance on presentations and reports
- Working on special projects as required
- Interfacing with a variety of employees as well as executives across our organization
Requirements
- Proven experience as an executive or administrative assistant
- Discretion and ability to maintain confidentiality around all company information
- Ability to move quickly and make on-the-spot decisions without sacrificing attention to detail
- Strong Dropbox, Microsoft Suite and Google apps skills and familiarity with office productivity tools such as Slack
- Exemplary planning and time management skills with an ability to multitask and prioritize
- Strong verbal and written communications skills, proficiency in English
- College degree; additional qualification as a personal assistant would be considered an advantage
- Ability to maintain composure and sense of humor in high-pressure situations
